PDF or Word: which CV file format should you send?

Both formats can work with applicant tracking systems. Here is when to send each one and how to make sure the file is readable.

Follow the instructions first

If the job posting asks for a specific format, send exactly that. Ignoring instructions is an easy reason to be filtered out.

When PDF is best

A text-based PDF keeps your layout identical on every device and is accepted by most modern ATS platforms. It is the safest default when no format is requested.

When Word is best

Some older systems and recruitment agencies prefer .docx because they edit or reformat CVs before sending them to clients. If an agency asks for Word, send it.

Check the file is readable

Before you hit send:

  • Select and copy the text — if you cannot, neither can the ATS
  • Name the file clearly, e.g. Firstname-Lastname-CV.pdf
  • Keep it under 2 MB
  • Run an ATS check before applying

Put this into practice

Score your CV against a real job description and fix the gaps in minutes.
